The Initial Situation
The August-Wilhelm Scheer Institute uses a new ERP system that combines a variety of applications such as CRM, project management, purchasing, accounting and more in one central system. Originally, an older version of the ERP system was in use, which reached its limits as the institute grew, making the decision to upgrade to the latest version crucial. In the course of this changeover, it became clear that a precise definition of the requirements for the new system was of crucial importance. The standard processes of the old system did not fully meet the requirements, so it was necessary to adapt the system to improved administrative processes. However, the processes were not created, documented and stored in a central location in a standardized format as BPMN.
The Project
The aim of the project was to replace the outdated system with a newer version and to optimize important processes due to increased requirements. This involved not only a simple update of the ERP system and the existing modules, but also the merging of other tools used, such as Excel spreadsheets and external invoicing software, into the new system. The overarching goal was to develop the new ERP system into a central company service and to automate numerous processes, thereby increasing efficiency. The project was carried out internally with various departments such as management, purchasing, controlling and the in-house development department. The focus was on optimizing processes in purchasing, accounting and time recording. By working together with these departments, the project team aimed to create a holistic solution that not only meets the technological requirements, but also improves the company's operational processes and makes them fit for the future.
